Educational Conference

Albrecht Events supported the planning and execution of a national medical research conference in April at the Loews Philadelphia Hotel. The three day event gathered researchers across the country to explore advancements and connect with others in their field.

With over 30 educational sessions, more than 60 speakers, a dynamic exhibit hall and over 15 sponsors, lunch symposiums, exclusive facility tours at the University of Pennsylvania, and a closing Nashville-themed reception to highlight next year’s conference location, the event demanded a highly coordinated approach to logistics, staffing, and attendee experience – all delivered by the AE team.

Event Website Management: Albrecht Events developed a customized registration website, building a user-friendly platform. Our team worked closely with the client to populate event details, create registration paths for various attendee types, and manage registration payments.

Onsite Registration Support: We provided full-services onsite event management and supplied a team of event professionals to oversee all details from load in to load out. Services included registration and help desk management, assisting guests with name badge printing and onsite registration, signage placement, and exhibitor hall setup.

Speaker Assistance: AE served as a point of contact on site for speaker logistics, helping to oversee presentation and audiovisual needs. From gathering headshots and bios to collecting final presentations, we streamlined communication and ensured a smooth speaker experience.

Hotel Venue Coordination: Our team supported venue logistics, managing banquet event orders, custom floor plans, and hotel room block coordination. 

Vendor Management: Albrecht Events worked closely with a team of trusted vendors to deliver unique details for conference guests. We coordinated with a local florist and live plant rental vendor and managed entertainment such as a surprise appearance by the Mummers, a traditional Philadelphia string band. We also collaborated with the onsite audiovisual team to ensure a seamless execution of the conference’s production schedule and stage setups.

Themed Closing Celebration Experience: The AE team collaborated with the client to curate a lively Nashville-themed closing event, transforming the space with rustic decor, custom logo lighting, and touches that captured the spirit of the conference’s next location. We worked with the hotel to coordinate a themed menu featuring items like brisket and cornbread, shrimp and grits, banana pudding, and Goo Goo Clusters—all to a soundtrack of an authentic bluegrass band.
